Email & Communication Templates

Communication can often be challenging for many of us, whether it’s chasing doctors appointments, asking for accomodations at work, it can all be emotionally taxing… so we have created so templates to take (some of the energy) out of it for you 🫂

Workplace Templates

Determining Urgency

To your employer or manager:

“Hey! Did you have an idea in mind for the deadline on this one?

It really helps me to feel a little more organised if I know the specific time and date I need to aim for!

Thanks so much”

(you can even add in emojis like 🫶 depending on your relationship with the person you’re asking)

For freelancers and clients:

“Before I lead with excitement and say YES straight away, what kind of timeline do you have in mind?

I’m super keen to be involved, but want to make sure I can deliver the quality of work I’m happy with”

(..and in case you need to hear it freelancers, rush fees are NOT rude! Your time is valuable, and if you’re delivering things on a quick turnaround..

You deserve to be paid for the stress)

Asking For Accomodations

To your employer or manager:

“So I’ve been looking to understand myself and how I work better recently, and although I’m really keen for it to be a collaborative effort for us to both see what works and what doesn’t, I’m thinking that [examples: this software, using fidget toys, wearing noise cancelling earphones, having instructions or actions in written format]

could potentially really help with [examples: reducing overwhelm, my focus, reducing distractions, processing information], which is sometimes something I struggle with.

How do you think we might be able to go about setting this up?”

For freelancers:

“Just so you know, I’m trying to be a little more transparent about how I work these days because I think it helps to form a better working relationship – communicating via [example: WhatsApp, emails, call] seems to work really well for me, rather than [example: WhatsApp, emails, call]..

Do you have any preferences?”

“Just to be transparent, my working days are Monday – Thursday since I’m trying to find a little more balance these days, you can totally [example: email me outside of those days] and I’ll pick it up on Tuesday!”

Booking appointments

They might need your details, but nobody tells you what order you’re supposed to do that in, and it’s actually because there are no rules!

And if there ARE rules, and you don’t know them, that isn’t your fault.. Rather they’ve done a bad job at informing you! So, with that being said:

“Hi! I’m hoping to book an appointment with [example: doctor XYZ] regarding [example: an ongoing matter they’re aware of/an issue relating to my cycles/some blood work].”

If the receptionist says something like “well what’s your name first?” – it isn’t because you’ve done anything wrong, it’s just that not all receptionists are very polite when it comes to not everyone knowing the way THEY like to do things.

You’re doing great ok???

Chasing appointments

“Hi! I called last week [additional note: you can also add the specific day or date if you like!] regarding an appointment I was hoping to book. I’m just following up to determine whether there’s space available yet?”

Chasing people for results

“Hi there, I’m just calling to see if you can help me – I had a [example: blood test] and I was hoping to see if the results were available please?”

(and.. If they say no, you could say something like “Ok! Can you tell me when you think I should [example: be able to access those/call back]?”
